    I am receiving notification in the O365 groups with Subject: One of your mailbox folders is approaching a quota limit.


    Your mailbox folder "\Conversation History\Team Chat" is approaching a quota limiting the number of messages per folder. It contains 900612 messages.



    Please reduce the number of messages in this folder by deleting items or moving items in this folder to a different folder.


    I can't find this 900612 messages. For this I have 2 questions:


    1. Where do I have to search to find these?

    2. Where can I either delete all, or only some of them to reduce this number?

    Was mit den Elementen nach dem 365 Tag passiert hängt von der Aufbewahrungsrichtlinie ab.



    What happens when the hold duration expires?



    When the hold duration expires for a mailbox item in the Recoverable Items folder, the item is permanently deleted (purged) from the inactive mailbox. If there is no duration specified for the hold placed on the inactive mailbox, items in the Recoverable
    Items folder are never purged (unless the hold duration for the inactive mailbox is changed).



    Is retention policy still processed on inactive mailboxes?



    If a retention policy was applied to a mailbox when it was made inactive, the deletion policies (which are retention tags configured with a Delete retention action) will continue to be processed on the inactive mailbox. That means items that are tagged with
    a deletion policy are moved to the Recoverable Items folder when the retention period expires. Those items are then purged from the inactive mailbox when the hold duration for an item expires.



    Conversely, any archive policies (which are retention tags configured with a MoveToArchive retention action) that are included in the retention policy assigned to an inactive mailbox are ignored. That means items in an inactive mailbox that are tagged with
    an archive policy remain in the primary mailbox when the retention period expires. They're not moved to the archive mailbox or to the Recoverable Items folder in the archive mailbox. Because a user can't sign in to an inactive mailbox, there's no reason to
    consume datacenter resources to process archive policies.

    Well, it doesn't. Let me tell you what does work:
    1) backup your contacts to a .pst file
    2) export your contacts to an Excel file
    3) select and delete all your contacts
    4) import the Excel file into your Contacts folder
    5) copy the new contacts into the Contacts folder under your live account
    6) sit back and enjoy the fact that now ALL contacts are synchronized with your live account
    7) replace the contacts in your Personal folders with the back up (if you are afraid of data-loss and/or want to keep a file for your history - from now on you're going to use the contacts from your Live account folder)

    Looks like UI error. Have you tried creating the rules via PowerShell? You can use the New-InboxRule cmdlet: technet.microsoft.com/.../dd335170(v=exchg.150).aspx

    You can also create them via Outlook, by configuring the shared mailbox as additional account. If you need help with doing that, follow these steps: www.michev.info/.../How-to-add-a-shared-mailbox-as-additional-account-in-Outlook

    From our side we tried to do it from our side but we need 1 of the shared mailbox users credentials to be able to apply the rule.

    Here example for the PS command: new-inboxrule -name "Spam Move" -mailbox "ctobio" -MoveToFolder 'Junk E-Mail' -SubjectContainsWords "[Spam:" -StopProcessingRules $true

    UI Lösung:

    If you get "The Store ID provided isn't an ID of an item." when making a rule or autoreply on a shared mailbox in the outlook web interface (OWA) then you must scroll down to the choice Options -> OTHER and choose "Go to the earlier version" to make and
    edit your rules and autoreply settings.

    The updated user interface has a bug that saves your rules under your personal account and not the shared mailbox you have opened. The Store ID of the object (mailbox folder) is not valid on your personal account resulting in the error. If you made a rule
    with something valid for your personal account like set the message as read, or change the category then it would have saved without the error but you will find it saves it in your personal account and not the shared mailbox so it actually will not work as
    intended.

    ok. the issue happend again this morning. folder is empty now. changing date of the "RoamCache" Folder is 15.01.2021 02:56

    no automatic reboot this time, as far as i can see.

    i set file history inactive now; already set it to defaults before.

    set synology backup to manual.

    will now test again a few days.

    edit:

    started outlook; creation date of the .ost files 16.01.21 10:45

    did a online repair of office now.

    If the file is not present in the “Preferences” folder within the “Library” folder, it could mean that Microsoft Word has not been installed or used on your computer. Alternatively, the file may have been deleted or moved.

    You could try searching for the file using Spotlight by pressing “Command + Space” and typing “com.microsoft.Word.plist” in the search bar. If the file is still not found, you can try updating office or uninstall and reinstall Word from here
